However, each organization has their own needs, so the software used should match their unique requirements. For instance, smaller, home-based enterprises can make do with the free options that are available as lower picture quality and other relatively small drawbacks will not have a noticeable impact on their conversations.
On the other, a large multinational corporation that regularly hosts conferences between multiple countries will need to invest in a dedicated piece of software that is as efficient as possible. Given that a conference that spans such large distances may also involve multiple time zones. VS also suggests that this be taken into consideration during the scheduling phase. This will reduce the possibility of participants having to attend a conference during extremely inconvenient hours.
Digital conferences are often used to connect people over vast distances. As such, they are often vitally important to an organization’s overall function and should be treated as such. Due to this reason, Vizual Symphony states that all participants should observe similar rules of etiquette as they would in a more traditional, formal setting. These rules include dressing properly, respecting each participant's time to talk (by listening closely and not talking over them), sending each participant an agenda prior to the conference and so on. It is an excellent idea to get minimize distractions as much as possible so that the conference is never held up by unrelated factors.
Depending on the nature of the organization in question, one or more members may need to be intimately aware of each of the video conference’s features, particularly regarding the software used. Participants should always know how to access (or send) any media that is shared during a conference, for instance. Relying on a single individual per location to troubleshoot the occasional issue will usually be enough, but a conference will take much longer than it needs to if each member needs help with more basic features.

While it does not directly contribute to the conference, a participant’s environment helps set the tone for the meeting, and a more formal setting will also be less of a distraction. VS observes that good lighting is often necessary to complete the aesthetic as well, for practical reasons in addition to more subjective ones. Even modern video cameras require a certain amount of light to capture a clear image, and a crisp picture will help the conversation flow smoothly during a conference.
